Owner Communications

At Chamberlin & Associates communication is very important. Owner communication is critical to the successful management of any property. Part of this communication is the various information you will receive each month.

MONTHLY ACCOUNTING REPORTS
Listed below are sample reports of what we send to each investor on a monthly basis. There are a number of reports that can be added to the monthly accounting or we can streamline it based on the investor's request. Most all of the reports are mailed out by the 15th of the month for the prior month. (There is a one time cost of $15.00 per unit from the software manufacturer for the site level software.)

Monthly Summary
  • Each month we summarize the entire performance of the property in the areas of accounting, traffic, occupancy and work orders with any capital improvements.

    Traffic Reports
  • Each month we supply a report showing the best methods of advertising for the community, as well as a traffic stop report showing what is not working. This is a date driven report, so we can do it for a certain quarter, as well as an entire year.

    Work Order Analysis
  • Each month we supply a work order analysis report which shows you what orders were completed, as well as what units the work was completed in.

    Income Statement
  • A profit and loss statement that is completed on a monthly basis.

    Budget Comparison
  • A complete annual budget is conducted upon acceptance of each management account. A monthly budget comparison report is completed to compare with our actual monthly income and expenses.

    Variance Report
  • This report explains any one line item expense which is over $500.00.

    Bank Statement with Reconciliation Report
  • Included each month is a copy of the actual bank statement with a reconciliation report.

    General Ledger
  • A complete general ledger is sent showing the actual invoices that were paid that month.

    Property Transaction Report
  • This report shows all of the tenants that paid the property rent and any outstanding balances that the tenants might have outstanding.

    Rent Roll
  • Each month a new rent roll is completed with the new leases from the prior month. It will also show the lease expiration dates, market rents and the actual rents including security deposits.

    Account Payable Report
  • Any outstanding invoices that were not paid in the prior month will show on the accounts payable list, as well as the date that it is due or past due.
